We also collect, use and share aggregated data such as statistical or demographic data for any purpose. We may on occasion collect Special Categories of Personal Data about you. This includes details about your dietary requirements, allergies and other health-related information relevant to your stay or dining experience, which is special category data under UK GDPR. Where we ask you for this information, we will ask for your explicit consent. We do not collect any information about criminal convictions and offences.

5. If you fail to provide personal data
Where we need to collect personal data by law, or under the terms of a contract we have with you, and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you. In this case, we may have to cancel all or part of a service you have with us but we will notify you if this is the case at the time.
6. How your data will be used
We use information held about you to carry out our obligations arising from any contracts entered into between you and us, to provide our services, to carry out feedback and research, and to notify you about changes to our services.
We never sell your data to third parties or allow third parties to contact you without your permission.

7. Lawful basis for processing
We only process your data where we have identified a valid lawful basis to do so:
• Contractual obligation — processing that is necessary to comply with our obligations arising out of a contract, for example where you have booked a stay or dining experience with us
• Legitimate Interest — in the interest of our business in conducting and managing our operations to enable us to give you the best service and most secure experience. We make sure we consider and balance any potential impact on you and your rights before we process your personal data for our legitimate interests
• Consent — we will seek to obtain your consent to process your data outside our contractual obligations where we have not identified a legitimate interest, and for any special category data such as dietary requirements and allergen information
• Legal obligation — where it is necessary for us to process your data to comply with the law
• Vital Interests — where we need to process personal data to protect someone’s life
8. Third parties and sharing information
We will keep your information within the organisation except where disclosure is required or permitted by law, or when we use third party service providers (data processors) to supply and support our services to you. We have contracts in place with our data processors which means they cannot do anything with your personal data unless we have instructed them to do so. They will not share your personal data with any organisation apart from us.

9. Marketing
We may use your Identity, Contact, Technical, Usage and Profile Data to form a view on what products, services and offers may be relevant for you.
You will receive marketing communications from us only if you have requested information from us or purchased services from us and you have opted in to receiving that marketing.
We will always obtain your express opt-in consent before we share your personal data with any third party for marketing purposes.
You can ask us or third parties to stop sending you marketing messages at any time by following the opt-out links in any marketing message sent to you or by contacting us at machrie-life@another.place.
10. International transfers
Your data is stored by us and our processors in the UK or the European Economic Area (EEA). However, some of our external third parties are based outside the EEA. Whenever we transfer your personal data out of the EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:
• transfer your personal data to countries that have been deemed to provide an adequate level of protection for personal data; or

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
12. Data retention
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.
By law we have to keep basic information about our clients (including Contact, Identity, Financial and Transaction Data) for six years after they cease being clients.
In some circumstances you can ask us to delete your data: see below for further information. We may anonymise your personal data for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

We do not penalise individuals who wish to withdraw consent

If you apply to work for us (directly or indirectly) in any role we may receive data about you from third parties. We will keep the details of your application and any additional information provided during your application so that we can keep you informed of future opportunities. We may from time to time expand or reduce our business and this may involve the sale and/or transfer of control of all or part of our business. Any personal data that you have provided will, where it is relevant to any part of our business being transferred, be transferred along with that part. The new owner or newly controlling party will, under the terms of this privacy policy, be permitted to use that data only for the same purposes for which it was originally collected by us.
